How to choose suppliers and professional services in Barcelona: the records to check before signing

Choosing suppliers in Barcelona requires more than just comparing prices. It's essential to verify public records and professional associations.

Comparing budgets is not enough for making a good hiring decision in Barcelona. Before signing with a real estate agency, a property manager, a lawyer, or a construction company, it is necessary to check public records and professional associations that anyone can consult and that many clients overlook.

Specialised portals help to compile the list of candidates. Tiempo de Negocios publishes guides and rankings by sector, with sections on real estate and legal matters that include comparisons of property managers, real estate agencies, and lawyers in Barcelona. They help narrow down options, but do not replace official checks: a ranking provides guidance, while a record provides verification.

Real estate agencies: the plaque and the Generalitat register

The Register of Real Estate Agents of Catalonia is public and mandatory for anyone mediating in sales or rentals. It is managed by the Agència de l'Habitatge de Catalunya, which offers a search tool for registered agents. Registration entitles the use of a plaque with the registration number, which should be visible in the office. If it is not displayed, it is advisable to ask why.

Property managers: the role of the association

The Col·legi d'Administradors de Finques de Barcelona-Lleida (CAFBL) comprises about 2,400 members, who manage nearly 80% of the properties in their area, according to their own information. The association recommends trusting registered professionals because they offer guarantees, continuous training, and insurance coverage. This is a recommendation from the association itself, not a legal requirement to practice, so it is necessary to ask for the registration number and civil liability insurance.

Construction companies: the REA certificate

Anyone hiring or subcontracting work on a construction site is required to prove that their contractors are listed in the Register of Accredited Companies, a requirement in effect since 26 August 2008. Companies with their registered office in Catalonia that wish to work on a construction site must be registered in the Catalan register. Requesting the valid certificate (which is valid for three years) takes an email and avoids problems if the work is halted.

Lawyers: the ICAB search tool

The Il·lustre Col·legi de l'Advocacia de Barcelona (ICAB), a public law corporation based at Calle Mallorca, 283, has a search tool for professionals where you can verify that the lawyer is registered and practising.

What should be documented

Before paying anything, it is advisable to have in a document:

  • Exact scope of the service, including what is included and what is not.
  • Fees or total price, with VAT itemised and expenses listed separately.
  • Execution or delivery deadlines, and what happens if they are not met.
  • Conditions for withdrawal and contract termination.
  • Tax and registration details of the supplier, along with their civil liability insurance.
  • Contact person responsible for the assignment.

Ideally, it is best to request at least three proposals with the same outline to be able to compare them properly. The next step for anyone about to hire is simple: verify the relevant register or association, request the documentation by email for record-keeping, and only sign when the budget, deadlines, and conditions match what was discussed.
